Common questions about backing up your Xero organisations.

Xero backs up the Xero platform, not your individual organisation's data. The distinction matters. Xero's infrastructure backups exist so the application stays online if a data centre fails. They are not designed to roll your books back to last Tuesday after a bad import, or to recover a contact your colleague deleted by mistake. This is the shared responsibility model in practice. Xero protects the platform. You protect the records inside it. That gap is what dedicated Xero Backup Services like WOW fill, by capturing your data daily and storing it independently of Xero's own infrastructure.
A backup is a copy of your data taken at a specific point in time and stored independently of the live system. Recovery is the process of using that copy to get a working version of your data back when something goes wrong. The two are often used interchangeably, but they describe different things. A backup with no tested recovery process is incomplete. A recovery plan with no recent backup has nothing to draw on. WOW handles both: daily Xero backups, plus a tested restore workflow that rebuilds a working Xero organisation from any backup point you choose.
WOW runs an automated backup every day for every connected Xero organisation. The default retention is a seven-day rolling window, which covers most accidental deletions and bad imports caught within the working week. For longer recovery horizons, retention can be extended to 30, 60, or 90 days per organisation. That is the right setting when data errors might not surface until a month-end review, a BAS or sales-tax preparation, or an external audit.
A common misconception is that restoring overwrites your live Xero organisation. It does not. When you trigger a restore, WOW creates a brand new Xero organisation containing the data from the backup point you choose. Your live organisation stays exactly as it is. This protects you from making a bad situation worse. You can compare the restored organisation against the live one, copy across what you need, or migrate fully if that is the cleaner path. Restoring Xero organisations through WOW typically takes one to three hours. Large organisations, or restores running during peak Xero API traffic, can extend to a day or two because of Xero's API rate limits.
Restoring through the Xero API always produces a complete Xero organisation at the chosen backup point. There is no API-level way to push a single deleted contact or transaction back into a live organisation. What you can do is restore to a new organisation, locate the specific record you need, and re-enter or import that record into your live organisation. For a one-off contact or a handful of transactions, that is a quick manual fix. For larger structural problems, working entirely from the restored organisation is usually faster than picking through individual records.
Bank transaction data is captured by WOW because the Xero API exposes it. The live bank feed connection itself is a different matter. Bank feed authorisations are credentials between your bank and Xero, so they need to be manually reconnected after a restore. WOW cannot carry that credential across, and no Xero Backup Solution can. Bank transfers between accounts inside a single Xero organisation sit outside the Xero API entirely. That means no backup tool using the public Xero API, including WOW, can capture them directly. The practical workaround is to record bank transfers as paired journal entries or paired payments. Both are exposed by the API and both are backed up by WOW.
Yes. Every receipt, invoice PDF, and image attached to a Xero transaction is included in your WOW backup at no extra cost. Attachments are re-linked to their parent transactions during a restore, so the relationship between the document and the record is preserved. This matters for audit and tax purposes, where the source document and the journal entry need to be retrievable together.
CSV and Excel exports are useful for ad-hoc reporting and analysis. They are not a backup. Exports lose the relational data that makes Xero work: journal links, reconciliation status, contact relationships, attachment linkage, and tracking categories. You cannot rebuild a working Xero organisation from a folder of CSVs. WOW captures the full relational structure and rebuilds it as a live Xero organisation. CSVs are still useful as a long-term archive format, which is why WOW gives you the option to download a CSV archive alongside your active backups.
When you cancel a Xero subscription, Xero retains your data for a limited period under their own retention policy before it becomes unavailable through the application. The exact window depends on your region and the cancellation reason, so we recommend confirming the current policy directly with Xero. If you have been using WOW alongside your subscription, your backups remain available in your WOW vault according to your retention setting. You can download a CSV archive for long-term storage, restore to a new Xero organisation if you decide to return later, or hand the records to a successor practitioner. The backup belongs to you, not to Xero.
Xero's own retention period after cancellation is set by Xero, not by WOW, and the exact window varies by region and circumstances. We recommend confirming the current policy directly with Xero before you cancel. The practical takeaway is that the Xero cancellation window is not a substitute for an independent backup. Once that window closes, the data is gone from Xero's side. A WOW backup is yours to keep on your own retention schedule, independent of any decision Xero makes about how long to hold post-cancellation data.
WOW stores backup data in the same region as the connected Xero organisation. Australian organisations are stored in Australia, Canadian organisations in Canada, and United States organisations in the United States. This matters for jurisdictions where financial records must remain inside the country, and for cyber-insurance policies that require regional data storage. If you operate across multiple regions, each connected organisation is stored in its own country independently.
