How to Sign Up and Create an Account

There are two ways to create your WOW Backup and Restore account.

Option 1 — Email & Password

  1. 1Type your email address into the Email box
  2. 2Enter a password of your choice in the Password box
  3. 3Press the Sign Up button
  4. 4Scan the QR code with an authenticator app (e.g. Google Authenticator) and enter the passcode — WOW requires two-step authentication for security
  5. 5Check your inbox and click the verification link to finalise your account

Option 2 — Sign in with Xero

  1. 1Select Sign Up / Log In with Xero
  2. 2Enter your Xero credentials and press Log In
  3. 3Press Allow Access to proceed
Two-step authentication is required for all accounts. Use any TOTP authenticator app (Google Authenticator, Authy, 1Password, etc.).

How to Connect Your Xero Account

  1. 1Go to Xero Account in the dashboard
  2. 2Press the green + Add New Account button (top right)
  3. 3Enter your Xero account email address and press Add
  4. 4Log in with your Xero credentials when prompted
If your WOW account was created using your Xero account login, you will not be asked to re-enter your Xero credentials.

How to Connect an Active Organisation

Complete the Connect Your Xero Account step first.
  1. 1Click the Select an Organisation dropdown
  2. 2Select the organisation you would like to connect
  3. 3Press Allow Access at the bottom of the page
  4. 4Enter the Conversion Date when prompted
  5. 5Press Save Changes

How to Find the Conversion Date

The Conversion Date is found inside your Xero organisation settings.

  1. 1Open the organisation in Xero
  2. 2Select AccountingAdvanced
  3. 3Select Conversion Balance under the Advanced Settings column
  4. 4Press the Conversion Date button near the top of the window
  5. 5Note this date and enter it into the Conversion Date box when connecting the organisation in WOW

How to Backup an Organisation

Backups run automatically every day at 12:00 AM PST. Manual backup is available any time.

Manual backup:

  1. 1Locate the Active Organisation on the Xero Accounts page
  2. 2Press the Backup button (cloud with downward arrow icon)

How to Adjust Backup Duration

Control how far back your backups are retained — from 3 to 30 days (default: 7 days).

  1. 1Locate the Active Organisation you would like to adjust
  2. 2Press the Backup Duration button
  3. 3Select the date in the Backup from box
  4. 4Enter the duration in the Validity Period box (3–30 days)
  5. 5Press Save
To reduce stored backups without deleting all data, use this feature instead of Clear Data.

How to Restore an Organisation

Before you start: You must create a new blank Organisation in Xero first. Unless you have your Chart of Accounts available to import, select Xero's default Chart of Accounts and delete all accounts that are unlocked and deletable.
  1. 1Create a new blank Organisation in Xero
  2. 2Connect that new, blank Organisation to WOW Backup and Restore
  3. 3Locate the original Organisation you want to restore from
  4. 4Press the Restore button (cloud with upward arrow)
  5. 5Select the Backup Date you want to restore from
  6. 6Select All in the Module box
  7. 7Select the new target organisation in the Sync Data To box
  8. 8Press Restore Xero Data
  9. 9Review the confirmation summary and press Start
After restoring, you will need to reconnect bank feeds, recreate payment connections (PayPal, Stripe etc.), and recreate repeating invoices. See the Additional Notes section for the full post-restore checklist.

How to Disconnect an Active Organisation

  1. 1Locate the Active Organisation on the Xero Accounts page
  2. 2Press Disconnect from Xero under the Action column
  3. 3Verify the disconnection in Xero by checking Connected Apps in Settings

How to Reconnect an Organisation

  1. 1Locate the Inactive Organisation on the Xero Accounts page
  2. 2Press Connect to Xero under the Action column
  3. 3Complete the Xero login process if prompted
  4. 4Select the organisation you would like to reconnect
  5. 5Press Allow Access

How to Delete an Organisation

Warning: Deleting an Organisation will also permanently delete all its backup data.
  1. 1Locate the Organisation on the Xero Accounts page
  2. 2Press the blue Delete button (trash can icon)

How to Download a Backup

  1. 1Locate the Organisation on the Xero Accounts page (Active or Inactive)
  2. 2Press View to see all completed backups
  3. 3Select the backup file with the date you want
  4. 4Press the blue Download button above the Module label

How to Delete Backup Data

This deletes all backup data for an Organisation. To reduce stored backups without deleting everything, use Adjust Backup Duration instead.
  1. 1Locate the Organisation on the Xero Accounts page
  2. 2Press the blue Clear Data button (square icon with line)
  3. 3Press OK to confirm

Frequently Asked Questions

API Limitations

WOW Backup and Restore uses Xero's official API. The following data types are not currently supported by the Xero API and therefore cannot be backed up or restored:

  • Bank Statements
  • Branding Themes
  • Budgets
  • Repeating Invoices
  • History / Notes
As the Xero API continues to improve, WOW Backup and Restore will regularly update to provide the most comprehensive coverage possible.

Additional Notes

General

  • When backing up a Xero organisation with multiple users, each organisation has its own unique ID — only one user per company should back up each organisation.
  • Conversion balances need to be entered into the new restored Xero organisation manually.
  • Locked account numbers and names must remain in the default format set by Xero.
  • Tax rates created from other SaaS software may be archived automatically by Xero.
  • The Xero API does not expose the General Ledger report — a copy should be downloaded separately from Xero.
  • Changing contact info in the original Xero organisation can cause errors during restore. Best practice is to create new contacts and archive old ones.

Post-Restore Checklist

After a successful restore, complete these steps in your new Xero organisation:

Reconnect bank feeds for all bank and credit card accounts
Set up new credit card accounts for credit card bank feeds
Note: Unreconciled bank transactions do not appear on restored organisations
Manually match some credit items for vendors
Re-establish online payment connections (PayPal, Stripe, etc.)
Recreate invoice reminders and messages
Recreate email settings
Ensure restored organisation has the same options as original (Projects, Expenses, etc.)
Manually enter ROUNDING account amounts
Reattach files to transactions
Re-archive accounts if needed
Recreate repeating invoices
